What you can send
The most-used message types in our customer base, in order of frequency: fee reminders, daily absent alerts, exam timetables, hall ticket links, report card share-links, parent-teacher meeting invitations, holiday notifications, and emergency announcements (early-release weather days). All are template-based, so messages are fast to compose and consistent in branding.
Two-way conversations
Parents reply directly to the message. Their reply lands in a unified inbox in the Schoolar dashboard, visible to teachers and admin staff based on permissions. The principal can see all conversations; a specific class teacher sees only their class's parents. WhatsApp's 24-hour customer-service window applies, so once a parent has messaged, the school can reply free-form for 24 hours; outside that, approved templates are used.
Bulk and targeted broadcasts
Send to a single parent, an entire class, a grade, or the whole school. Filter by attendance status (e.g., today's absentees), fee status (e.g., pending dues over 30 days), or any combination. Templates support variables — student name, fee due, exam date — merged in automatically.
Triggered automation
Some messages are too repetitive to send manually. Schoolar runs automation rules: send a WhatsApp fee reminder 7 days before due date, send absent-today alerts at 9:30 AM each morning, send report card links the day after marks are finalized. Each rule is configurable per school.
Compliance and audit
Every message sent is logged with timestamp, recipient, template used, and delivery status. Failed deliveries (parent number changed, parent opted out) are flagged so admin can update records. Schools using WhatsApp via Schoolar are policy-compliant — no risk of personal numbers getting banned.
How to enable
Enable WhatsApp from the Communication settings in your dashboard. Verification typically takes 1-3 business days for a new business number. Schools that already have a WhatsApp Business number can port it. Schoolar's onboarding team handles the back-and-forth with the provider — your staff don't have to.

Is this WhatsApp integration official?
Yes. Schoolar uses the WhatsApp Business API via approved providers, which means messages are sent from a verified business number and follow WhatsApp's policy guidelines. It is not a workaround using personal WhatsApp accounts.
Do parents need to install anything?
No. Parents already have WhatsApp on their phone. Schoolar messages arrive in the same app the parent already uses every day. There's no separate parent app to install (though we offer one for families who want richer features).
Can parents reply, or is it one-way?
It is two-way. Parent replies arrive in a unified school inbox visible to teachers and admin staff. Conversations are threaded per-parent so context isn't lost. WhatsApp's 24-hour customer service window applies for free-form replies; outside it, schools use approved templates.
Are message templates pre-approved?
Yes. Schoolar ships with pre-approved templates for common messages — fee due, attendance alert, exam schedule, report card, parent-teacher meeting. Custom templates can be submitted for approval through the same workflow.
